Privacy Policy

1. Who we are

NeuroAccess™ is provided by Hope & Haven International ("Hope & Haven", "we", "us"). This Privacy Policy explains what information the NeuroAccess app (the "App") collects, how we use it, whom we share it with, and the choices you have.

We collect only what the App needs for screening, symptom tracking, education, advocacy, and care navigation. We do not sell your information, and we do not use it for advertising.

2. Your account

You need an account to use NeuroAccess. Crisis resources, privacy information, and these policies are available without one.

Your records are kept on your device, so the App keeps working without a connection, and saved to your account, so they are backed up and available on your other devices. Signing out removes them from the device; they stay in your account.

3. Information we collect

We collect the following when you create and use your account:

  • Account details: your email address, display name, the role you choose (individual, caregiver, or healthcare professional), and your password, which is stored only in a securely hashed form.
  • Professional details, if you register as a healthcare professional: license number, specialty, and organization, used to verify you.
  • Profile: age group, the roles that describe you, language, accessibility settings, and optional details such as whether you have insurance, your ZIP code, the kind of support you are looking for, whether you want faith-based content, and whether a parent or guardian gave permission.
  • Health information you enter: screening answers, scores and levels of concern, daily symptom check-ins, saved resources, and advocacy plans.
  • Sharing connections you create: the name, email, and role of the person you connect with, what they may see, and when the connection was accepted or revoked.
  • Consent records: which version of these policies you accepted, and when.
  • Security and technical information: when you sign in, your session records your IP address and device or browser type. Our audit log records who accessed or changed a record and when, with the IP address stored only in a one-way hashed form.

4. How we use your information

  • To provide the App: show your results, trends, recommendations, and plans, and keep your records in step across your devices.
  • To keep you safe: certain answers show crisis resources immediately. This happens on your device and does not notify anyone.
  • To secure your account: sign-in, two-factor authentication, email verification, and preventing misuse.
  • To keep an audit trail: every access to and change of health information is logged, so misuse can be detected and investigated.
  • To communicate with you: account emails such as sign-in links and verification messages. We do not send marketing email.

We do not use analytics or advertising tools that track you, and we do not sell or rent your information.

5. When your information is shared

Your information is shared only:

  • When you choose to: with a caregiver, healthcare professional, or school or coach support you connect with, limited to what you select, and revocable at any time; or when you export or send a summary yourself.
  • With service providers who run the App for us, under contracts that limit their use of it: Cloudflare (hosting of our servers), Supabase (our database), and Resend (account emails). If you choose to sign in with Apple or Google, that company confirms your identity to us.
  • When the law requires it, or to protect someone's life or safety.

If Hope & Haven transfers the App to another organization, your information would stay protected by this policy or one at least as protective.

6. Teens and children

The App is for people aged 13 and older. Teens aged 13–17 should set up the App with a parent or guardian, and see age-appropriate privacy information.

We do not knowingly collect information from children under 13. If you believe a child under 13 has created an account, contact us and we will delete it.

School staff and coaches cannot see a teen's answers unless the teen chooses to share a summary with them.

7. How we protect your information

Information travels between the App and our servers over encrypted connections. Your sign-in session is kept in your device's secure storage. Access to health records is limited, logged, and reviewed. You can add two-factor authentication to your account.

Records kept on your device are protected by your device's own security, so we recommend using a screen lock. No system is perfectly secure; if a breach affects your information, we will notify you as the law requires.

8. How long we keep your information

When you delete your account, it is permanently deleted straight away, together with everything saved in it: your profile, screening answers and results, check-ins, saved resources, advocacy plans, sharing connections and consent records. You are signed out on every device, and any access others had shared with you ends.

Your records are also removed from the device you delete from. Copies on other devices where you used the App stay on those devices until you sign out there or remove the App.

9. Your choices and rights

  • See your information: your records are shown in the App.
  • Correct it: edit your profile and account details in the App.
  • Stop sharing: revoke any sharing connection at any time.
  • Delete it: use "Delete Account" on the Privacy & safeguards screen or your account screen.
  • Sign out of a device: your records are backed up to your account and removed from that device.

Depending on where you live, you may have further rights, such as receiving a copy of your information. To use them, contact us as described below.

10. Not a medical record

Hope & Haven is not your healthcare provider, and information you enter in the App is not part of a medical record. It becomes part of one only if you share it with a provider who adds it to theirs.

11. Changes to this policy

We may update this policy. The version date at the top shows when it last changed. If we make a material change, we will ask you to review and accept it in the App.
